What is Planned Maintenance?

Planned preventative maintenance (PPM), also referred to as planned maintenance or scheduled maintenance, is generally a pre-planned and well-structured maintenance regime in order to protect the condition of an asset. Whether you are a building owner or occupier, you should be taking maintenance seriously.

Preventative maintenance is put in place while the asset remains operational as opposed to reactive maintenance which can more often than not require the closure of the building in order to address a particular issue.

Planned maintenance is commonly regarded as being a proactive approach to asset management.

It can be used to establish a set regime of tasks performed at regularly timed intervals, minimising the risk of assets failing prematurely.

What are the benefits of Planned Preventative Maintenance?

Primarily, the benefits of utilising a properly Planned maintenance approach to the protection of an asset will greatly reduce the risk of an unexpected breakdown and reactive capital expenditure. A well-structured PPM can also be used to strategize operational expenditure over a prescribed timeline.

Planned maintenance schedules can significantly reduce the potential risk of disrupting core business operations. Maintenance tasks likely to require downtime (shutdown, for example) can be scheduled in advance, allowing for proper programming.

Extended asset life span and reduction in capital expenditure

Depending on your asset, its age, construction form and use, the dependency on regular, cyclical maintenance may vary.

Being in a position to keep your built asset in good operable condition will ultimately contribute towards extending the lifespan of the building fabric and subsequently reduce;

  • The costs associated with the replacement of building elements
  • Core business operation downtime and profit loss
  • Unforeseen capital expenditure

Increased Efficiency

In addition to your built asset lasting longer, regular PPM will help them remain as efficient as possible. Equipment and building materials will naturally deteriorate as they age a properly planned maintenance regime can help protect the life expectancy of an asset or component part.

Again, knowing when to maintain, and more importantly, when to replace will greatly increase your efficiency as an occupier/owner and allow for strategic allocation of operational capital expenditure and increase sustainability. This facet of management is imperative in being able to produce a workable budget.

Is PPM more expensive than reactive maintenance?

In essence, the thought of saving funds against regular maintenance and putting it to one side for any future capital expenditure may appear to be an attractive proposition. Surely, reducing operational expenditure, and allowing for capital to be allocated elsewhere seems to be the sensible option?

Unfortunately, leaving building elements to deteriorate over time will nearly always become a self-exacerbating cycle of degradation until more substantial repairs/replacements are necessary.
